Terms and Conditions

Go Kilimanjaro Treks is a trading name under a registered company in Tanzania. For these Booking Terms and Conditions, the terms safari, tour, itinerary, and trip are used interchangeably to refer to the travel services booked through us. Similarly, client, guest, participant, member, passenger, and traveler all refer to you the individual undertaking the journey.

Tour Prices (Valid through December 31st, 2024 and 2025)

Tour prices include:

  • Accommodation as listed in each itinerary, based on double or twin-bed rooms (or tents, where applicable).

  • Meals as indicated, along with bottled water served during group meals.

  • Airport transfers upon arrival and departure, and all other land transport.

  • For mountain treks (including Kilimanjaro): Services of certified, English-speaking guides (or guides in other international languages where specified), a professional cook, and a team of porters to carry gear, food, and water.

  • For safari packages: Services of an English-speaking driver-guide (or other specified language guides) and a cook for camping safaris.

  • All applicable park entry fees, game reserve fees, museum entrance fees, and related government taxes.

  • Use of a safari vehicle, specially equipped for game viewing and comfortable touring, including guaranteed window seats.

Exclusions (Not Included in Tour Price)

  • Passport and visa fees

  • Extra baggage charges

  • Travel insurance

  • International and domestic airfare, unless clearly specified

  • Airport departure taxes

  • Meals, game drives, or sightseeing not listed in the itinerary

  • Personal expenses (laundry, communication, tips, and beverages except for water provided during group meals)

Reservations and Payments

A 30% deposit per person is required at the time of booking. The remaining balance is due 30–90 days prior to the start of your trip. If preferred, clients may pay the 30% deposit upfront and settle the remaining amount upon arrival in Tanzania.

Accepted payment methods: bank wire transfer or credit/debit card. A 4% surcharge applies to credit/debit card transactions. Last-minute bookings will be accepted subject to availability.

Cancellations

All cancellations must be made in writing before the scheduled trip. Go Kilimanjaro Treks will retain a portion of the trip cost based on when the cancellation notice is received:

  • 91+ days before departure: Cancellation fee equals the deposit

  • 90–61 days: 50% of the total package is non-refundable

  • 60–46 days: 65% is non-refundable

  • 45 days or less: 100% is non-refundable

Additional fees charged by airlines, hotels, or other third-party providers may also apply.

Trip cancellation insurance is strongly recommended.

Client Representation and Consent

By making a booking, the person represents that they have the authority to enter into this agreement on behalf of all persons listed in the booking. Payment of any deposit or partial payment indicates consent to all terms and conditions listed here, whether or not a signed agreement is submitted.

Changes to Itineraries

Go Kilimanjaro Treks reserves the right to modify or adjust any itinerary due to changes in airline schedules, ground transportation availability, safety concerns, or other external factors beyond our control.

Subcontracting Rights

Go Kilimanjaro Treks reserves the right to subcontract services to third-party providers at its discretion.

Accommodation

All accommodations and included activities are subject to change due to unforeseen circumstances. While every effort will be made to deliver services as outlined, changes may occur even after the final itinerary has been issued.

Baggage

Guests are responsible for their luggage throughout the trip. Weight restrictions may apply on some internal flights and will be clearly indicated in the itinerary.

Price Adjustments

Quoted tour prices are based on current rates and may be adjusted due to changes in park fees, government taxes, accommodation rates, airfare, or other third-party costs that are beyond the control of Go Kilimanjaro Treks.

Claims and Refund Policy

No refunds are provided for unused services or for any portion of a tour missed. For any claims to be considered, they must be submitted in writing within 45 days of the tour’s end date and supported by documentation from the service provider involved.

Liability and Responsibility

Go Kilimanjaro Treks, its employees, agents, and partners do not own or operate entities providing accommodations, transport, meals, or other travel services. As such, the company is not liable for any negligence, omissions, or intentional misconduct by third-party providers.

Further, Go Kilimanjaro Treks assumes no responsibility for personal injury, death, property damage, delays, or disruptions caused by events including but not limited to: force majeure, war, civil unrest, terrorism, natural disasters, mechanical failures, labor strikes, food poisoning, or schedule changes beyond our control.
